We ship machines out of China most weeks, and the pattern of failure is depressingly consistent. The damage is rarely dramatic — a snapped handle, a bent shaft, a cracked casting, a spindle that no longer runs true. It is almost always caused by packing decisions made quickly at the end of the order, when everyone is tired and the container is booked. The supplier's packing crew optimises for closing the door, not for the twelve-thousand-kilometre ride ahead. So the buyer needs to specify the packing before the machine is packed, not argue about it after the surveyor has written a report nobody wants to read.
The crate is a structural decision, not a box
A machine tool weighing several tonnes needs a crate engineered for that mass, and "we will use a strong wooden case" means nothing. What matters is the base: for anything over a few hundred kilograms, the crate should sit on a solid timber skid or steel base long enough to be handled by forklift, with the load bearing on the base members rather than on the skin. Under-specified bases are the number-one cause of collapsed crates — the machine lands fine, then the floor of the case punches through on the first lift.
Ask your supplier what the crate is rated for and get a photo before it is closed. Specify moisture protection: machinery packed in damp conditions and shipped through humid latitudes will rust, and a bare shipping container sweats. Vapour-corrosion inhibitor film, sealed with desiccant bags, is cheap insurance and standard practice on anything with exposed machined surfaces. Loose accessories — tooling, manuals, the spindle wrench, that box of spare fuses — should be boxed, labelled and strapped inside the crate, not "put in the container next to it," where they gradually migrate behind the machine and get crushed.
If you have any choice, ask for a closed crate for anything fragile or expensive, and specify the crate needs to survive being handled by people who did not pack it. Also request the gross weight and crate dimensions in writing. You need those numbers for container planning anyway, and a supplier who cannot produce them is a supplier who has not thought about your shipment.
Container loading: the part nobody watches until it goes wrong
Once the goods are at the shipper's yard, the question is how they go into the box. Full-container-load (FCL) is the default for machinery: you rent the whole container, nothing else goes in, and the load stays exactly as loaded from factory to destination. Less-than-container-load (LCL) is where machinery goes to die — your crate gets grouped with other cargo, handled several extra times, and re-stuffed at a consolidation warehouse where nobody knows which side is up. On a machine worth more than a few thousand dollars, pay for the full container. It is the single most effective thing you can do to protect a heavy shipment.
Weight distribution matters more than most buyers realise. A container has a maximum gross weight and, on a 20-foot, a practical limit well below what the steel box itself could hold — road regulations at both ends often cap you before the ship does. Heavy machinery should sit low and centred over the container's strong points, with the weight spread across the floor, not concentrated on a few feet. Then it has to be secured: timber bracing, lashing, and blocking so the load physically cannot shift. On a metal lathe or machining centre, strapping the crate to the container floor with only a couple of nylon belts is not securing — it is decoration.
Ask for photos at three moments: crate before closing, load in the container before securing, and the secured load before the doors shut. A supplier who cannot or will not send those three photos is telling you something about how much they care about what happens after your money lands. We treat those photos as non-negotiable on every machinery order, and we send the same sequence to our own customers for the same reason: it is the cheapest proof in the whole transaction.

Insurance: read the clause, not the price
Marine cargo insurance is where buyers quietly lose money, usually because they chose the cheapest option and never read what it excluded. The two you will meet are Institute Cargo Clauses (C) — "free of particular average" — and Clauses (A), which is all-risks. Clause (C) is materially cheaper and, crucially, it does not cover partial damage unless the vessel itself has suffered a serious casualty. In plain terms: if your machine arrives with a cracked housing because the crate fell over in a storm, Clause (C) may pay you nothing because the ship made it to port. Clause (A) is what you want on machinery, and the premium difference is small relative to the value at risk.
Two more traps. First, under-insurance: cover is normally priced on CIF value plus a margin — commonly 110% — to account for freight, duty and lost margin if the goods are a total loss. Insure for purchase price alone and a claim may be met on a proportionate basis, leaving you short. Second, time limits and survey requirements: most policies require you to notify the insurer and arrange a survey before you move or repair damaged goods, and claims fade if the damage is discovered late. Photograph everything on arrival, before you unwrap, and note any external crate damage on the delivery paperwork before signing. That one habit has saved our customers more claim disputes than any clause.
Insurance is not a substitute for packing — it is the backstop for when packing is not enough. The buyers who never claim are usually the ones who specified both properly.
Costs, timing and what to expect
Rough numbers so you can budget, all of which move with the lane, the season and the size of the machine. A well-built export crate for a mid-size machine tool typically adds a few hundred to low four figures in US dollars on top of the goods, depending on weight and timber. Ocean freight on a 20-foot container from a major Chinese port runs in the low-to-mid thousands of dollars on main lanes, more in peak season or to secondary ports. Marine insurance on an all-risks Clause (A) policy for machinery is usually a small fraction of one percent of the insured value — genuinely trivial next to the cost of the machine. And an FCL container is almost always a fixed cost regardless of how full it is, which is why grouping multiple machines or a machine plus its spare parts into one container is one of the easiest savings available.
Timing is the variable buyers under-plan for. Packing, loading and documentation typically take several days after the machine is ready, and the container may wait for a sailing slot on your chosen line. Build a realistic buffer into your schedule rather than an optimistic one, and remember that a machine held at the destination port because paperwork was wrong or customs was not pre-cleared can rack up storage charges faster than you would believe.
The blunt version: specify the crate, demand FCL and a proper loading plan, insist on photos at three moments, and buy Clause (A) cover at CIF-plus-110%. Do those four things and machinery shipping becomes boring. Skip them and you are gambling your machine on someone else's packing crew having a good day.
